Welcome to Choice Made Travel (“CMT,” “we,” “our,” or “us”). These Terms & Conditions (“Terms”) govern your use of our website, booking services, communication tools, and all related offerings provided by Choice Made Travel.

By using our site or submitting a booking request, you agree to these Terms. Please read them carefully.

1. About Choice Made Travel

Choice Made Travel provides hotel-block coordination and group lodging services for tournaments, showcases, conferences, large-scale events, and organizational travel.
CMT acts as a booking intermediary between event organizers, hotels, and guests.
We do not own or operate hotels.

2. Hotel Reservations & Room Blocks

CMT partners with hotels to secure preferred rates, inventory, and room blocks for groups and events.

When you request or reserve rooms through CMT:

  • Hotel availability may change until confirmed by the property

  • Final room assignments and check-in requirements are determined by the hotel

  • Hotels may require credit cards, deposits, or additional verification

  • Taxes, resort fees, parking fees, and incidental charges are set by the hotel, not by CMT

CMT is not responsible for:

  • Changes in hotel pricing

  • Hotel policies

  • Property conditions

  • Overbooking or operational decisions made by the hotel

3. Pricing, Fees & Payments

Hybrid Pool model

Some events include rebates, commission-sharing, or loyalty incentives.
All such programs are fully disclosed to event operators and are funded through hotel commissions and/or rebates.

Transaction Fees

A per-reservation booking fee may apply, which is disclosed at the time of booking.

Cancellations

Cancellation fees may apply, including but not limited to:

  • A standard $19.95 per reservation cancellation fee for bookings canceled within seven (7) days of arrival

  • Additional hotel-imposed cancellation penalties

  • Non-refundable deposits, if applicable

CMT does not control hotel cancellation windows.

4. Organizer Responsibilities (for events using CMT)

Event owners, directors, and organizations using CMT agree to:

  • Accurately represent event dates and required room inventory

  • Communicate booking instructions clearly to participating teams/families

  • Ensure compliance when room blocks are part of event rules

  • Notify CMT promptly of event changes impacting bookings (date shifts, venue updates, field/court changes, cancellations, etc.)

5. User Responsibilities (guests, families, teams)

By booking through CMT, users agree to:

  • Provide accurate personal and payment information

  • Adhere to hotel policies, including check-in age requirements

  • Be responsible for incidental charges, damages, or misconduct fees assessed by the hotel

  • Review hotel cancellation policies prior to booking

CMT is not responsible for individual guest behavior or hotel penalties.

6. Changes, Modifications & Errors

While we work to ensure accuracy, pricing or availability errors may occur.
CMT reserves the right to correct errors, cancel incorrect reservations, or modify room blocks in coordination with event organizers and hotels.

7. Limitation of Liability

To the maximum extent permitted by law:

  • CMT is not liable for hotel operations, acts of employees, property conditions, or guest experiences

  • CMT is not liable for losses caused by travel delays, event cancellations, or force majeure events (weather, natural disasters, etc.)

  • CMT provides booking tools “as is” without warranties of any kind

Our total liability in any circumstance is limited to the lesser of:

  • The booking fee paid to CMT, or

  • $50

CMT assumes no liability beyond the scope of services we perform.

8. Privacy

Your privacy matters to us.

CMT may collect limited personal information necessary to complete bookings.
We do not sell personal data.

9. Intellectual Property

All content on the Choice Made Travel website—including logos, branding, images, layouts, copy, and design—is owned by CMT and protected by intellectual property laws.
Users may not reproduce or repurpose it without permission.

10. Termination of Access

CMT may suspend or restrict access to services for violations of these Terms or misuse of booking tools.

11. Updates to These Terms

CMT may update these Terms periodically.
When changes are made, the “Last Updated” date above will be revised.

Continued use of our site or services after updates constitutes acceptance of the revised Terms.

CHOICE MADE TRAVEL – SMS Terms & Conditions

By opting in to receive SMS communications from Choice Made Travel, you consent to receive text messages and/or calls from Choice Made Travel at the phone number provided. These messages may include reservation updates, customer service communications, event or travel-related information and occasional marketing messages. Consent to receive marketing messages is not a condition of purchase.

Message frequency may vary. Message and data rates may apply.

You may opt out of SMS messages at any time by replying STOP to any message. After you send the message STOP, you will receive a confirmation text that you have been unsubscribed. After this confirmation, you will no longer receive SMS messages from Choice Made Travel.
